REGISTRATION

• Web registration applies in respect of all other students, details of which will be e-mailed to each student's umail address. Registration requirements and dates for ongoing students can be found here
• All Registration requirements must be met - fee payment alone does not constitute registration 
• Students' attention is drawn to the penalties imposed for non-compliance with registration requirements by the specified date

• When selecting modules, students must avoid timetable clashes.  It will not be possible to undertake two modules scheduled at the same time. Where a student finds a timetable clash, they should immediately consult with the Head of the relevant School(s)/Department(s) to resolve.  Registration amendments resulting from timetable clashes will be undertaken by the SREO
• Students may not, without the permission of both the relevant College(s) and Academic Board, register in any one academic year for more than one complete academic programme. Students may be allowed to take the Diploma in Arts (Applied Irish) alongside their academic programme, subject to the approval of the relevant Heads of School(s)/Department(s)
• University College Cork reserves the right to limit the number of students taking any particular subject/module to a level proportionate to the staff/accommodation available.

Note: 

• First year students who cannot attend for registration on their appointed date MUST contact the Admissions Office, University College Cork, before the appointed registration date, otherwise it will be assumed that they do not wish to register (despite their acceptance of a place)
• Medical and Dental students who meet the criteria may only register outside of their appointed registration date by approval of the relevant College Committee (comh@ucc.ie).

• On registration, every student must enter their accurate (i) home, (ii) emergency and, if applicable, (iii) term address 
• Important registration/examinations documentation is communicated throughout the academic year. It is critical that any change of address is recorded at: https://mystudentadmin.ucc.ie/

• Incoming student ID cards are issued on completion of registration and attendance at orientation
• ID cards are issued for the duration of a student’s programme of study 
• On-going student ID cards are validated at the start of each new academic year, contingent on completion of online registration and receipt of full payment of the relevant fee
• Replacement ID Cards for those lost or stolen may be obtained from the Student Records and Examinations Office, First Floor, West Wing of the Quad.

• Where a programme contains elective modules, it is recommended that students take a maximum of 40 credits in any one semester
• Students are advised to spread their workload evenly throughout the year.

• Every registered student is expected to attend* all teaching element of their programme, including, but not limited to, lectures, tutorials, laboratory classes, placements, etc.
• In the case of absence through illness, a student must, if possible, give notice of each absence in writing to the Lecturer concerned and/or Head of School/Department responsible
• In the case of such absence for more than four lecture days, the student must, on resuming attendance, notify the Lecturer concerned and/or Head of School/Department in writing and, if appropriate, lodge a medical certificate with the Head of School/Department, who will provide a copy for the Student Records and Examinations Office
• A student will not be permitted to enter for an examination if a specified attendance requirement of a module has not been met, or if attendance by the student is not considered satisfactory by the Deputy President and Registrar following a report by the Lecturer and/or Head of School/Department responsible for the module. The decision of the Deputy President and Registrar is subject to appeal to Academic Council.

• Students are advised that the provision of any elective module in a particular session cannot be guaranteed. The availability of such modules, therefore, should be confirmed by contacting the Schools/Departments concerned at the earliest possible stage.

Change of Module

• Students wishing to register a change of module must do so at https://mystudentadmin.ucc.ie/ no later than two working weeks after the formal start date of each Semester.
• Semester 1 modules cannot be changed in Semester 2.

Change of Subject – First Year Arts programmes

• Changes to First Year subjects will be allowed, provided subject prerequisites are met, up to four working weeks after the formal start date of Semester 1
• The online facility (https://mystudentadmin.ucc.ie/) for making changes to subjects will only be open for the first two working weeks of Semester 1
• Subsequent changes are allowable for a further two weeks but must be processed manually through the Student Records and Examinations Office, First Floor, West Wing of the Quad 
• Changes for FETAC and Mature students and any other student not presenting with a Leaving Certificate, must be processed manually through the College of Arts, Celtic Studies and Social Sciences Office, G31, O'Rahilly Building.

No change in registration will be allowed after these deadlines.

• No application from a student seeking permission to depart from the published regulations will be considered unless the request (in writing) is submitted to the relevant College.

• Students will be permitted to attend classes in additional modules, only by consent of the relevant Head of the School/Department (fees will apply)
• In no case will a student be officially registered for an additional module(s), nor will they be permitted to sit for examination in that module(s), without the specific permission of the College concerned.

• Students wishing to take leave of absence of a year or more from a programme of study are advised that they must obtain advance approval from the relevant College
• Applications to the relevant College for a leave of absence must be made within four working weeks of the formal start date of Semester 1.  Applications will not be accepted after this time.
• Medical students intending to take leave of absence of a year or more must make an application to the Dean of the School of Medicine and to the Deputy President and Registrar not later than March of the preceding academic year. Permission will only be granted for specific reasons which will be considered in each case by the School's Executive/Heads of Department.

• Students registered at the beginning of the academic year are required to attend classes, submit assessed work and sit examinations at the first opportunity
• All returning students will be notified (umail) in July/August of that year regarding registration procedures for the following academic year
• Undergraduate students considering withdrawal should contact the Admissions Office, First Floor, West Wing of the Quad (https://www.ucc.ie/en/study/undergrad/orientation/first-year/), in the first instance
• Postgraduate students who do not wish to return to the programme must inform the Student Records and Examinations Office (sreo@ucc.ie) and return their student ID card. 

There are two processes:

(i) For students withdrawing up to 31st January

• Undergraduate students may withdraw from a programme up to January 31st of that academic year by contacting the Admissions Office and completing the Student Withdrawal Form https://www.ucc.ie/en/registration/changes/proceduresforwithdrawingfromdegreeprogramme/.
• Registration and eligibility for honours in the following academic year will be treated as if it were the first registration for that programme year.
• In the case of first-time admissions through the CAO, re-application must be made through the CAO.

(ii) For students withdrawing after 31st January

• Students seeking to withdraw from a programme after January 31st of an academic year must obtain permission from the relevant College.
• Permission for withdrawal may be granted under the following circumstances: 
• On health grounds (supporting documentation required)
• On academic or personal grounds, where the relevant Heads of Departments are satisfied that withdrawal is to the advantage of the student 
• Registration and eligibility for honours in the following academic year will be treated as if it were the first registration for that programme year.

Students are only recorded as withdrawn once the Student Records and Examinations Office has been informed in writing (sreo@ucc.ie).

• Such students will be required to attend the full programme the following year, which will be treated as repeat registration (with respect to examinations and eligibility for honours) for that programme year.

Confirmation of Attendance

• All students are obliged to confirm their attendance for Semester 2 online
• If a student subsequently withdraws, the official date of withdrawal will be the date attendance was confirmed.

Fee Refund

• Where a student is forced, due to circumstances beyond their control, to withdraw from the University for all or part of an academic year, a partial refund of any fee paid may be considered in accordance with the procedures detailed here 

• Where a student has to withdraw from the University for the whole or part of an academic year for which he/she has registered or paid a fee and the withdrawal is due to circumstances beyond the student's control or beyond his/her parents' control, a partial refund of any fee paid may be considered in accordance with the procedures details here.

• All students who are required to repeat a year at undergraduate or postgraduate level must register and re-attend in their failed/absent modules before again presenting for the relevant examination
• Occasionally, failed/absent modules from a previous attempt year may not be available in a repeat year.  In such cases, students are required to re-present for examination in the current programme of study. Students should consult the relevant School/Department in relation to attendance at practical classes in a repeat year
• Where the School/Department does not require re-attendance, fees will be reduced.  Students should consult the Fees Office (fees@ucc.ie) in relation to the fees payable.

• Official Transcripts of Academic Records may be obtained by completing the application form and payment available at: https://forms.ucc.ie/transcript-request
• Please note, all transcripts (paper and electronic) will be supplied within 10-15 working days. At peak times, processing times may increase.
